The Opportunity
The Steward School is seeking a highly organized, proactive Campaign Coordinator to provide administrative and operational support during a capital campaign. The Coordinator applies exceptional organizational and database management skills to ensure campaign activity, donor engagement, and campaign milestones are accurately documented and tracked. Interacting with donors and volunteers respectfully and professionally in person, by phone, and in writing are regular expectations.
This is a two to three-year fixed-term position dedicated to ensuring the successful execution of the campaign through meticulous gift tracking/processing, donor database management and reporting, event coordination, and donor stewardship. Working closely with the Director of Development, campaign leadership, and volunteers, the Campaign Coordinator will serve as a central operational partner during the campaign lifecycle.
Key Responsibilities
1. Campaign Administration & Data Management:
- Maintain the integrity of the donor database (Raiser's Edge/NXT) by tracking campaign pledges, multi-year payments, and naming opportunities.
- Assist with the preparation of donor briefings, strategy documents, and meeting materials for campaign leadership and volunteers.
- Maintain prospect and donor engagement records, including contact reports and follow-up actions from meetings.
- Assist with campaign appointment setting with donors and prospective donors
- Generate weekly and monthly campaign progress reports for the Board of Trustees and Campaign Committee.
- Manage the "moves management" calendar to ensure staff and committee members are prompted for timely follow-ups with prospects.
- Support the grant process, including tracking deadlines, coordinating materials, and assisting with grant reporting.
- Record and transcribe notes of all significant campaign-related communications with donors, volunteer leaders, board members, and staff.
- Support tracking of campaign prospects, assignments, and cultivation activities in collaboration with the Director of Development.
2. Donor Stewardship & Communication:
- Draft, proofread, and coordinate high-quality acknowledgment letters, pledge agreements, personalized proposals, and pledge reminders.
- Ensure that every campaign donor receives timely recognition in accordance with the established stewardship plan.
- Assist in the development of campaign communications and collateral.
- Assist in drafting donor correspondence, campaign updates, and personalized stewardship communications.
3. Campaign Events & Engagement: - Coordinate logistics for "Hard Hat" tours, cultivation dinners, and the eventual groundbreaking and ribbon-cutting ceremonies.
- Manage RSVP lists and prepare guest briefing materials for the Head of School, Campaign Chairs, and Director of Development.
4. Volunteer & Committee Support: - Serve as the primary administrative liaison for the Campaign Committee.
- Schedule meetings, prepare agendas, and record minutes for all campaign-related committees.
- Coordinate orientation of new board members and campaign volunteers as needed to update on campaign planning and implementation.
- Coordinate communication and follow-up with campaign volunteers regarding meeting preparation, assignments, and next steps.
Qualifications
1. Education and Experience:
- Bachelor's degree preferred.
- 2+ years of administrative, development, or project coordination experience, preferably in a non-profit or educational setting.
2. Technical Skills:
- Experience working with donor databases (preferably Raiser's Edge/NXT).
- Strong proficiency with Microsoft Office Suite, particularly Excel for data tracking and reporting.
3. Professional Competencies:
- Discretion and professionalism in handling confidential donor and financial information.
- Exceptional attention to detail and accuracy in managing donor records and communications.
- Demonstrates a hands-on approach and willingness to contribute wherever needed to support campaign success.
- Strong organizational and project management skills with the ability to manage multiple priorities simultaneously.
- Excellent written and verbal communication skills with the ability to interact professionally with donors, volunteers, and school leadership.
- Positive, collaborative team member who works effectively across departments.
