Financial Services Coordinator

PASS Grade Level 3 $66,708 to $75,082

Reporting to the Senior Manager, Financial Services, this position supports the operational requirements necessary to facilitate the work of the Senior Manager’s portfolio. The incumbent’s understanding of the complex and inter-related roles and responsibilities within the department’s divisions will assist the implementation of a wide range of initiatives as directed by the Senior Manager. The incumbent will be a pro-active systems thinker who can effectively manage multiple tasks, shifting priorities and urgent timelines while maintaining strict confidentiality with all information shared verbally, written, internally and externally.

Duties include but are not limited to:

  • Provide confidential support to the Senior Manager’s office.
  • Provide project support within the Financial Management Team.
  • Expedite operations and processes across the multi-functional areas of the department to increase overall efficiency and effectiveness.
  • Provide support for customer service functions, communication plans, protocols, procedures, and responses to emergency situations.
  • Research and compile required information for meetings, reports, inquiries, agendas, presentations, and Freedom of Information Requests on behalf of the Senior Manager.
  • Organize confidential information (financial, departmental budgets and expense accounts).
  • Co-ordinate departmental in-services, training, and professional development activities.
  • Facilitate communication with all levels of the Board including school administration and senior staff.
  • Other related duties as assigned.

Qualifications :

  • College diploma/certificate in a related field of study.
  • Minimum seven to ten years of relevant financial experience; education sector experience considered an asset.
  • Advanced computer skills requiring experience in SparkRock, Nav, PowerSchool and Onsis.
  • Comprehensive knowledge of Ministry of Education, Board policies and procedures, and the complex and reciprocal connections among different elements of the organization.
  • Demonstrated management, planning, organizational, analytical and problem-solving skills.
  • Highly developed interpersonal skills with an emphasis on teamwork, conflict resolution and client service.
  • Excellent written and verbal communication skills, attention to detail and high-level multi-tasking abilities.
  • Demonstrated ability to navigate processes and procedures with tact, diplomacy, and discretion.
  • Exceptional organizational skills including the ability to adapt to changes in priorities, assignments, and other disruptions on a daily basis.
  • Experience and comfort with autonomy and decision making within a defined scope in a highly confidential environment.
  • High level of proficiency using Microsoft Office and web meeting tools.
  • Demonstrated commitment to working in a diverse school community and/or work environment.
  • Availability and flexibility to work outside of regular business hours when required.
