Assistant to the Principal’s Office
St. Clement’s School is seeking an Assistant to support our Principal’s Office. The Assistant to the Principal’s Office (“Assistant”) is responsible for providing administrative and operational support to the Principal, the Vice Principal, and the Director of Human Resources. The Assistant is accessible and welcoming with a professional and diplomatic approach to working with parents, students, staff, and other community members. The Assistant is able to anticipate the needs of the Principal, work independently towards objectives, adapt to priorities and can manage confidential situations with discretion, respect and sensitivity.
PRIMARY RESPONSIBILITIES
- Manage administrative functions for the Principal’s Office including continually identifying and implementing methods of improving daily operations
- Oversee the Principal’s calendar requiring interaction with both internal and external constituents to coordinate a variety of complex meetings and events and maintain high level of discretion and confidentiality
- Manage and coordinate activities for the Principal, e.g. meetings, luncheons, dinners, conferences, travel / accommodation
- Liaise with the Secretary of the Board of Governors regarding coordination of Board communications, New Board Member orientation, and Board events
- Coordinate Board and Administration activities including off sight retreats
- Provide administrative assistance for the Vice Principal: Learning, Research and Innovation, e.g. calendar management, tracking and analysis of Professional Development budget, manage registration / travel / accommodation for off sight Professional Development for Vice Principal and others as required
- Provide administrative assistance for the Director of Human Resources, e.g. staff records maintenance, interview scheduling, Police Records Checks administration, vacation scheduling coordination for Business and Operations staff, new staff orientation planning and supporting document production, and maintenance of employee files, and management of logistics for required staff safety courses
- Assist in the preparation of the school-wide calendar and Staff Opening and Final Week Schedules
- Preparation of correspondences, reports, files, forms ensuring detail and confidentiality
- Preparation of agenda and notes for Administration Team meetings and their scheduling; scheduling for Executive Team meetings
- Assist with various types of event planning, e.g. assemblies, reservations of meeting spaces within and outside the School, ordering, catering, and technical logistical requirements
- Accurate maintenance of contact lists of multiple organizations required by Principal for business and emergency purposes
- Preparation and submission of Expense Reports for the Principal and Vice Principal
- Performs other duties as assigned
QUALIFICATIONS, EXPERIENCE AND ATTRIBUTES
- A university or college degree in Business Administration or equivalent experience
- Minimum five years’ relevant work experience
- Highly responsible, reliable and works with integrity
- Handles confidential material and situations with discretion and sensitivity
- Manages competing priorities and multiple tasks with strong attention to detail
- Outstanding work ethic, initiative and ability to meet deadlines
- Proactive problem-solver
- Outstanding written and oral communication, relationship management and interpersonal skills
- Expertise in Microsoft Outlook, Word, Excel, PowerPoint, Google Suite and Zoom meeting management
- Competent in updating and running reports on ADP Workforce Now
- Represents St. Clement’s School in a professional and positive manner to all constituents
- Demonstrated interest and enthusiasm in working with all members of the SCS community, including students, staff, parents, the Board of Governors and visitors
- Resourceful and flexible, organized and demonstrates strong time management skills
